Custom software and automation

Negro Blanco Software builds custom software that speeds up work done with Excel files, on paper or by hand: programs that run on Windows and macOS, internal tools and panels used in the browser, Excel and PDF reports that prepare themselves, and connections that move data between systems. The person who listens to how the work is done today is the same person who writes and installs the software, so you talk directly to the person who writes the code.

What we do

  • Desktop programs: programs installed on Windows and macOS that speed up the daily work; if needed, they also work without internet. If you want, the same interface can also be built to open in a browser.
  • Internal tools and panels in the browser: record-keeping, tracking and approval screens your team signs in to with their own usernames, with nothing to install.
  • Automatic Excel and PDF reports: instead of tables merged by hand every week, reports prepared with one click or automatically at a set time.
  • Data transfer between systems: connections that pass data from one program to another instead of copying it by hand; through a templated Excel file or, where the systems allow it, directly.
  • Tools for repetitive work: jobs done with the same steps every day, such as organizing files, bulk checks, and producing labels and documents. The tool applies those steps in the same order every time, which reduces the skipped steps and typing mistakes that are common when the work is done by hand.
  • User roles and an audit trail: roles that decide who can see and change what, and a record of who did what and when.

Who it is for

  • Teams that run their work with Excel files and whose file versions get mixed up.
  • People who prepare the same report by hand every week.
  • People who enter the same data again into several programs or sheets.
  • People who write information on paper forms first and then enter it into a computer.
  • Businesses whose workflow off-the-shelf programs do not quite fit.

Where to start?

Rather than trying to change everything at once, pick the one task that takes the most time and start by solving it with a small tool. That way you quickly see, with a small budget, whether the software works for you; the next step is built on top of the first tool. We can decide together when we talk which task to take on first.

How we work

  1. Examining the work together: step by step we write down how the work is done today, which files and programs are used, and where time is lost.
  2. Prototype: screens and sample reports are prepared as a clickable draft; we do not move on to code until the people who do the work approve it.
  3. Development: the program is tested with your existing Excel files and your real data; you follow progress in the working program.
  4. Installation and maintenance: the program is installed on your computers, on your own server or in the cloud; users get a short walkthrough, followed by maintenance and updates for new needs.

What sets the price

  • The number of screens and workflows.
  • The systems to connect to, and whether those systems expose data to the outside.
  • The number of users and permissions.
  • Where it is installed: a computer, your own server or the cloud.
  • What you expect in maintenance after installation.

Example project

The management program of the counting platform

The management program of the Stock Counting Platform, which runs on Windows; the same interface also opens in a browser. Count sessions, stores, the team and devices, zone assignment and label printing are managed from here; the supervisor also makes the accept, reject or recount decision for count differences here. The product list is imported from Excel; the platform prepares the Excel and PDF delivery reports for the count. The client's name is not given, for confidentiality; the platform is in development.

FAQ

Off-the-shelf program or custom software?

If an off-the-shelf program does the job, we recommend it; it is often up and running faster and costs less. Custom software makes sense when your work does not fit ready-made patterns, when you need to connect several programs, or when you do a lot of manual work to make an off-the-shelf program fit.

What happens to our existing Excel files?

They are not wasted. Existing files are imported into the program; if you like, the program gives its results as Excel again. That way people used to working in Excel, and the organizations you send files to, keep receiving files in the same format.

Can the program work without internet?

If needed, yes. A program can be written to keep data on the device first and send it to the server when a connection returns; in the counting platform, scans wait on the device while there is no internet and go to the server when the connection returns. We decide together which tasks must work offline when we write the scope.

Where is our data kept?

Where you choose: only on your own computers, on your company's server or in the cloud. If the cloud is used, the account is opened in your name.

Can we start with a small automation?

Yes; that is often the best way to start. We begin by automating the one report or transfer that takes the most time; once you see that it works, you decide whether to continue.
